Setting up your service delivery teams

Teams are a crucial component of Minutly’s platform, enabling groups of individuals to collaborate on projects or services effectively.

Minutly teams provides several benefits, including the ability to have precise control over who has access to specific projects or services. Rather than assigning all team members to every project or service, individual members can be selected for each team. For instance, a larger development project team may require a project manager, designer, developer, and tester, while a smaller team may only need a designer and developer. Additionally, you can assign a single person to multiple projects or services, enabling you to optimize your team members’ skills and increase overall efficiency. This flexibility allows for a more customized approach to project management, resulting in better outcomes.

In addition to the control and flexibility, teams in Minutly also allow for easy management of project or service access. You can assign specific roles and permissions to team members for each project, ensuring that only authorized individuals have access to work on them. Grouping users together based on their project or service helps to streamline communication and align everyone towards the same objective. Furthermore, teams can be utilized to assign specific tasks or projects to different groups of users, promoting efficient delegation and workload distribution. This feature ultimately leads to a more organized and effective project management experience.

Create a team

The platform offers two types of teams: company-managed and individual teams. Company-managed teams consist of Minutly users who belong to a specific organization or company, while individual teams are formed by a group of individuals (or freelancers) who can work together on a project or deliver a service. It is important to note the distinction between the two team types. To learn more about the differences, click here.

Creating a company-managed team

Below are the steps to create a company-managed team in Minutly:

  • Log in to your Minutly account and navigate to the company module where you want to create the team.
  • Click on the “admin” menu located on the right side of the page
  • Select the “Add People” button to add the user to the company
  • Click on the “Teams” menu.
  • Click on the “Create team” button
  • Enter a name and short description for the team
  • Optionally, add a logo for the team
  • Add one or more users to the team
  • Set their team roles and rates. Click here to see different team roles
  • Click on the “Save” button to save the changes.

After creating the company-managed team, you can further customize the team settings, add or remove team members, and adjust team permissions based on your requirements.

Creating an individual-managed team

Below are the steps to create an individual managed team in Minutly:

  • Log in to your Minutly account and go to the user dashboard
  • Click on the “Create team” button
  • Enter a name and a brief description of the team you want to create.
  • Select the type of team you want to create
  • You can also optionally add a logo to represent the team.
  • Invite one or more members to join the team by entering their email addresses.
  • Click on the “Finish” button to save your changes

Once the team has been created, Minutly will send invitations to the new team members. The users can simply click on the link provided in the invitation to join the team and begin working on the project or service.

Adding members to a team

Here are the steps to add a new member to a Minutly team:

  • Go to the Minutly team’s page.
  • Click the “Add members” button located on the right-hand side of the page
  • Enter the user’s name or email address whom you want to add to the team
  • Click the “Save” button to send the invitation to the new member.
  • An email invitation will be sent to the new member to join the team. Once they accept the invitation, they will receive the designated permissions within the team.

Note that if the user you want to add to the team does not have a Minutly account yet, they will need to create one before they can accept the invitation to join the team.

Setting up member rate and assignments

To set up member rates and assignments in Minutly, you can follow these simple steps:

  • Log in to your Minutly account and navigate to the team page where the member you want to assign a rate and assignment is.
  • Look for the member you want to set up and click on their name to view their profile.
  • Click on the “Edit” button located next to the member’s name.
  • Enter the hourly rate that you want to assign to the member in the “Hourly Rate” field.
  • If needed, you can also change the member’s role from the drop-down menu.
  • Click on the “Save” button to save the changes.

Once you have set up the member’s rate and assignment, you can add them to a project or service team and assign them to specific tasks. The member can also create and manage tasks as needed. Please note that only team leaders have the authority to manage rates and roles for the team.

Removing members

To remove members from a Minutly team, follow these steps:

  • Log in to your Minutly account and go to the team page you want to remove members from.
  • Find the member you want to remove from the team and click on the remove icon next to their name.
  • Confirm that you want to remove the member by clicking the “Remove” button.
  • If the member is the owner of any tasks, you will need to reassign them to someone else before removing the member from the team.
  • Repeat the steps above for any additional members you want to remove.

Note that to remove a member, you need to be either a team leader or an admin, and you can only remove members who are not the owner of any tasks.

Managing member permissions

Minutly uses role-based security to manage member access for a project or service. Minutly supports three types of roles.

Business Admin: This role has full administrative access to the entire organization and can perform all administrative tasks. They can manage everything from adding and removing members to creating and managing teams, services, invoices, and payments. An organization can have one or more business admins.

Team Lead: This role has full administrative access to their team. Team leads can manage all aspects of team management, including adding or removing members, setting rates, managing work, responding to proposals, and requesting payments for individual teams.

Member: This role has full access to task management, including creating and managing tasks, moving tasks through the board, and updating work items. Members have access to all team tasks, and they can collaborate with other team members.
